Privacy Policy

Willbe Co., Ltd. (the Company) recognizes that personal information handled by the Company in its business activities is valuable and therefore pays sufficient attention and care to the handling of such personal information.
The following is the Company’s Privacy Policy on Handling of Personal Information.

  1. The Company will not acquire personal information by deceptive or wrongful means.
  2. The Company will, prior to using personal information, clarify the purpose of use of personal information and disclose the purpose of use to the identifiable person, and will handle such personal information to the extent necessary for achieving the purpose of use.
  3. The Company will endeavor to keep the content of personal information accurate and up to date.
  4. The Company will take the necessary and appropriate measures for the safety management of personal information.
  5. The Company will conduct necessary and appropriate guidance and supervision of employees and contractors who handle personal information.
  6. The Company will not provide personal information held by it to a third party without the consent of the identifiable person, in principle.
  7. The Company will, upon receipt of an inquiry about the purpose, content, etc. of the use of personal information held by it from the identifiable person, respond to such an inquiry within a reasonable scope, in principle.
  8. The Company will accept, and appropriately and promptly resolve, a complaint about the Company’s handling of personal information.
  9. The Company will establish its self-regulatory rules concerning the protection of personal information and will comply with the Act on the Protection of Personal Information and other related laws and regulations.
  10. The Company will regularly inspect the state of its handling of personal information, conduct educational training on the management of personal information to its employees, review and improve its Privacy Policy and its self-regulatory rules, and thereby endeavor to continually improve the system of protecting and safely managing personal information.

1. Purpose of Use of Personal Information

The Company will acquire and use personal information, in light of its business purposes set forth at the end of this Policy, only when the Company requires such personal information for the performance of its business operations. The purposes of use of personal information are as follows.

  1. Making an offer for a transaction between a customer or a supplier and the Company, making identity confirmation of customers and suppliers, conducting examination or judgment of a transaction, or conclusion, performance, management, termination and handling after the termination of contracts;
  2. Providing information on improvements to the products and services provided to customers and related products or services, and giving replies to inquiries, etc. from customers;
  3. Making confirmation and inquiries about products and services provided by suppliers;
  4. Making confirmation about applications for and participation in the Company’s exhibitions, seminars, etc., making contact with speakers of exhibitions, seminars, etc., notifying results of investigations and events to people who cooperated and participated in such investigations and events, etc., and confirming the schedule of visitors to the Company and their entry onto the Company’s premises;
  5. Making contact with members of various organizations to which the Company belongs, and giving them notifications connected with the purposes of activities of these organizations;
  6. Delivering publications of the Company to subscribers, and delivering emails to applicants for the Company’s email delivery services;
  7. Conducting the matters equivalent to Item (1) above in connection with communication with, and conclusion of a joint contract or research consignment contract with, all research institutes related to the Company’s research and development activities, and participating in academic conferences;
  8. Communicating with reporters, analysts, etc. in the Company’s publicity activities;
  9. Accepting an application for employment in the Company’s recruitment activities, communicating with such applicants, giving notification of hiring/non-hiring, etc.,
  10. Communicating with certified public accountants, lawyers, patent attorneys, etc. related to and required for the Company’s business activities;
  11. Communicating with the Company’s parent company, subsidiaries and affiliates as required for the Company’s performance of businesses other than the businesses mentioned above;
  12. Giving notifications to retirees of the Company. Communicating with the families of the Company’s employees;
  13. Mutually providing necessary information for the performance of the Company business between the Company and its cooperative employees, fixed-term employees, dispatched employees, part-time employees, and casual employees;
  14. Performing the contracted business with regard to personal information that the Company receives to engage in such contracted business within the scope of its business purposes;
  15. Carrying out businesses incidental to or connected with the preceding purposes of uses

Please note that the Company from time to time provides personal information to a third party or entrusts the handling of personal information to a third party or makes joint use of personal information with the Company’s group companies and other third parties, with the extent necessary for achieving the above purposes of use, with consent of the identifiable person.

When the Company acquires or uses personal information for purposes other than the above purposes of use, the Company will give notification or make accountment of such purpose of use or take any other measure on each occasion thereof.

2. Personal Information Held by the Company

For the achievement of the purposes of use in Paragraph 1 above, the Company holds the personal information of customers, suppliers, and related persons of the Company, such as name, address, phone number, fax number, email address, gender, age, affiliated organization, affiliated department, position title, etc.
The Company will not acquire or hold any personal information not required for the achievement of any of such purposes of use.

3. Management of Personal Information

The Company will take necessary and appropriate measures to ensure the safe management of personal information and will endeavor to keep the content of personal information accurate and up to date to the extent necessary for achieving the purposes of use.
Further, the Company will promptly and appropriately dispose of or erase, among personal information which the Company has finished using for the intended purpose of use or of which the Company receives a request for disposal or erasure, personal information that is likely to cause harm to the rights and interests of an individual.

4. Provision of Personal Information to Third Parties

The Company will, except for the following cases, not provide personal information held by it to a third party without the consent of the identifiable person.

  1. Cases where, with regard to personal information provided to a third party, the Company is set to cease, in response to a request of the identifiable person, a third-party provision of personal information that can identify the said identifiable person and when pursuant to the matters stipulated in the Act on the Protection of Personal Information the Company has in advance informed the identifiable person of those matters set forth in the Act or put them into a state where the identifiable person can easily know;
  2. Cases where the Company entrusts all or part of the handling of personal information to a third party to the extent necessary for achieving the purposes of use (*in such cases, the Company will conclude a non-disclosure agreement with the entrusted and conduct the necessary and appropriate supervision on the entrusted).
  3. Cases where the Company uses personal information jointly with its group companies and other specified parties to the extent necessary for achieving the purposes of use;
  4. In addition to the preceding cases, cases permitted by laws and regulations

Any request for notification of purpose of use, disclosure of content, correction, suspension of use, erasure, etc. of personal information (collectively as “personal information related request”), or any complaint regarding the handling of personal information will be accepted by each department to which the identifiable person provided his/her personal information (Please note that the Company will send an application sheet to a person making a personal information related request, asking him/her to fill out the application and submit it to the Company together with a personal identification document).
